Aglow Safaris Terms and Conditions

These Terms and Conditions govern all safari packages, travel arrangements, bookings, payments, cancellations, responsibilities, and related services provided by Aglow Safaris. By confirming a booking with us, you agree to these terms.

Important: Please read these Terms and Conditions carefully before confirming your safari or travel package. They are designed to protect both the traveler and Aglow Safaris by clearly outlining expectations, responsibilities, payment obligations, cancellation terms, and travel-related risks.

1. General Application

Area of Application and Definitions

Aglow Safaris operates as a tour and travel service provider offering safari packages, travel planning, accommodation arrangements, transport coordination, and related tourism services within Tanzania and, where applicable, beyond.

These Terms and Conditions apply to all bookings made directly with Aglow Safaris or through approved travel partners, agents, representatives, or digital platforms.

Traveler

A traveler refers to any person who books, intends to book, or participates in a safari or travel package arranged by Aglow Safaris. Where one person books on behalf of others, that person confirms that they are authorized to act on behalf of all fellow travelers.

Package Travel Contract

A package travel contract is formed when the traveler accepts an offer from Aglow Safaris and the booking is confirmed through payment, written confirmation, or any agreed booking process.

Unavoidable and Extraordinary Circumstances

These include events beyond the reasonable control of Aglow Safaris, such as natural disasters, extreme weather, government restrictions, border closures, outbreaks of disease, terrorism, civil unrest, airline disruptions, or other unforeseeable events that may affect the safe delivery of travel services.

2. Role of Aglow Safaris

Travel Proposals, Offers, and Advice

Aglow Safaris prepares travel proposals based on the information provided by the traveler. These proposals are non-binding until an official offer is accepted and confirmed.

The traveler is responsible for providing accurate, complete, and timely information, including preferred travel dates, number of travelers, budget, special requirements, dietary needs, health conditions, mobility limitations, and any other relevant information.

Note: Safari experiences may vary depending on weather, wildlife movement, park regulations, road conditions, accommodation availability, and other local circumstances.

Local Standards

Travelers acknowledge that travel in Tanzania may involve different standards of road conditions, accommodation, food, climate, infrastructure, and general services compared to their home country. Aglow Safaris will always aim to provide safe, professional, and enjoyable services within the standards available locally.

3. Booking and Contract Confirmation

Booking Process

A booking becomes confirmed when the traveler accepts the safari offer and makes the required payment according to the invoice or agreed payment schedule.

Deposit Requirement

Unless otherwise agreed in writing, a deposit of at least 40% of the total tour price is required within 7 days of receiving the invoice or booking confirmation.

Bookings Made Less Than 20 Days Before Departure

If a booking is made less than 20 days before the travel date, full payment may be required immediately to allow Aglow Safaris to secure accommodation, permits, transport, guides, and other ground arrangements.

Late Payment: If payment is not made on time, Aglow Safaris reserves the right to cancel the booking, release reserved services, and claim any applicable costs already incurred.
4. Traveler Responsibilities

Information, Cooperation, and Conduct

The traveler must provide all necessary information truthfully and on time. This includes passport details, nationality, age, medical needs, dietary requirements, allergies, mobility limitations, travel insurance status, and emergency contact information.

Checking Travel Documents

Travelers must carefully check all booking confirmations, invoices, vouchers, tickets, names, dates, and travel details. Any errors must be reported immediately for correction. Costs caused by incorrect information provided by the traveler shall be borne by the traveler.

During the Safari

  • Travelers must follow the instructions of guides, drivers, park rangers, accommodation staff, and local authorities.
  • Travelers must respect wildlife, local communities, cultural sites, and environmental rules.
  • Travelers must avoid behavior that endangers themselves, other travelers, staff, wildlife, or property.
  • Any issue or dissatisfaction must be reported immediately so that Aglow Safaris can attempt to resolve it during the trip.
5. Passport, Visa, and Health Requirements

Travel Documents and Entry Requirements

Travelers are responsible for ensuring that they have valid passports, visas, vaccination certificates, travel permits, and any other documents required for entry into Tanzania or other destinations included in the itinerary.

Aglow Safaris may provide general guidance where possible, but the final responsibility for meeting immigration, customs, health, and travel requirements rests with the traveler.

Recommendation: Travelers should check official government sources, embassies, airlines, and health authorities before departure.
6. Persons with Reduced Mobility

Special Needs and Accessibility

Travelers with reduced mobility, health conditions, disabilities, pregnancy, or special medical needs must inform Aglow Safaris before booking.

Some safari experiences may involve rough roads, long driving hours, remote locations, walking activities, uneven terrain, limited medical facilities, or accommodation that may not be fully accessible.

Aglow Safaris reserves the right to decline or adjust a booking if, after careful assessment, the chosen safari package may not be suitable or safe for the traveler.

7. Insurance

Travel Insurance

Aglow Safaris strongly recommends that all travelers obtain comprehensive travel insurance before departure. Insurance should cover trip cancellation, medical emergencies, evacuation, personal injury, baggage loss, travel delays, theft, and other unexpected events.

Important: Aglow Safaris is not responsible for losses that could reasonably have been covered by adequate travel insurance.
8. Changes to Prices

Price Adjustments Before Departure

Aglow Safaris reserves the right to adjust prices before departure where necessary due to changes in:

  • Fuel or transport costs
  • Park fees, government taxes, levies, or permits
  • Accommodation rates
  • Exchange rates
  • Airline or third-party supplier costs

Travelers will be informed clearly of any significant price adjustment before departure. If the increase is substantial, the traveler may be offered the option to accept the change, choose an alternative package where available, or cancel according to the applicable terms.

9. Itinerary Changes

Route, Accommodation, and Activity Adjustments

Safari itineraries may change due to weather, road conditions, park regulations, wildlife movement, accommodation availability, flight changes, safety concerns, government restrictions, or other operational reasons.

Where changes are necessary, Aglow Safaris will make reasonable efforts to provide suitable alternatives of similar value and quality where possible.

Safari Flexibility: Wildlife viewing is natural and cannot be guaranteed. However, our guides will use their experience to maximize the quality of your safari experience.
10. Cancellation by the Traveler

Cancellation Policy

A traveler may cancel a confirmed booking by notifying Aglow Safaris in writing. The following cancellation fees apply per person, based on the number of days before departure:

Non-refundable costs: Some third-party costs such as park permits, domestic flights, accommodation deposits, gorilla/chimpanzee permits where applicable, and special bookings may be non-refundable.
11. No-Show

Failure to Travel

A no-show occurs when a traveler fails to arrive for the safari, misses departure, or is unable to travel due to reasons within their responsibility, including missing documents, late arrival, denied boarding, or personal decision not to travel.

In the case of a no-show, the traveler is not entitled to a refund or to use the services at a later date unless otherwise agreed in writing by Aglow Safaris.

12. Cancellation by Aglow Safaris

Withdrawal Before or During the Trip

Aglow Safaris may cancel a trip before departure if it is prevented from fulfilling the contract due to unavoidable and extraordinary circumstances or if the minimum number of participants required for a specific group safari is not reached.

Where Aglow Safaris cancels a trip before departure, the traveler may be offered an alternative package, travel credit, or refund depending on the circumstances and supplier terms.

Traveler Misconduct

Aglow Safaris reserves the right to remove a traveler from a trip without refund if the traveler engages in illegal, unsafe, abusive, disruptive, or grossly improper behavior, or fails to follow safety instructions.

13. Third-Party Services

Locally Booked and External Services

Services booked independently by the traveler with third-party providers are not the responsibility of Aglow Safaris unless they have been expressly confirmed in writing as part of the official safari package.

This includes optional activities, local excursions, restaurants, transport, shopping, or services arranged directly by the traveler during the trip.

14. General Travel Risks

Safari and Travel Conditions

Travelers acknowledge that safari travel involves general risks, including long drives, changing weather, dust, insects, wildlife proximity, rough roads, remote areas, climate differences, fatigue, stomach discomfort, altitude changes, and other natural or travel-related conditions.

These general risks are part of the travel experience and are not automatically considered a failure by Aglow Safaris to provide agreed services.

15. Liability

Limitations of Responsibility

Aglow Safaris will take reasonable care in planning and delivering travel services. However, Aglow Safaris shall not be liable for losses, injuries, delays, damages, or additional expenses caused by:

  • The traveler’s own actions, omissions, negligence, or failure to follow instructions
  • Third parties not directly contracted or controlled by Aglow Safaris
  • Unavoidable and extraordinary circumstances
  • Natural risks associated with safari, wildlife, weather, roads, or remote travel
  • Loss of valuables, luggage, or personal belongings not properly secured or insured
Traveler responsibility: Travelers are advised not to carry unnecessary valuables. Important documents should be copied and safely stored.
16. Complaints and Claims

Reporting Issues During and After Travel

Any dissatisfaction, service issue, or deviation from the agreed itinerary must be reported immediately during the trip to allow Aglow Safaris the opportunity to resolve the matter.

Claims should be submitted in writing with clear details, supporting documents, photos, receipts, or witness statements where applicable.

Claims period: Any claim should be submitted within 28 days after completion of the trip. Delayed claims may be difficult to verify and may not be accepted.
17. Privacy and Third-Party Information

Traveler Information

Aglow Safaris respects traveler privacy. Personal information will only be shared where necessary for the purpose of arranging the safari, such as with hotels, airlines, transport providers, park authorities, guides, emergency services, or official authorities where required.

Traveler information will not be shared with unrelated third parties unless required by law, necessary for travel operations, or approved by the traveler.
